Managing the Check-in Kiosk 2.0 for Site Managers

 Heads up! This article is intended for Site Managers


Checking volunteers in or out for volunteer shifts is a simple and easy process with the Check-in Kiosk 2.0. Just launch it and leave it! Once it's launched, your volunteers can select their scheduled shifts to check in for, respond to shifts and check in, or create an account and check in. Here we cover: 


Setting up the kiosk

You can add a personal welcome message that appears on the front page when the kiosk is launched. 

1. Go to Settings > Main Settings

2. Scroll to the Check-in Kiosk section. 

3. Enter your welcome message in the Kiosk Front Page Message field. 

4. Click Update Settings to save your changes.


Launching the kiosk

The Check-in Kiosk 2.0 is a feature that streamlines your volunteer check-in and check-out workflow. This version is simple and easy to navigate for you and your users. To get started: 

1. Log into your Site Manager account. 

2. Click the Check-in Kiosk button from your top menu bar. 

3. Use the Show Opportunities From dropdown to select which Programs you want to show Opportunities from in the kiosk. 

  • To show all, select All Programs
  • To select individual Programs, click their title from the dropdown to add them.

4. Click Build Kiosk

5. Select Log Out & Launch Kiosk

  • You can also click Copy Kiosk Launch Link to share it with someone so they can launch the kiosk on their device(s). We recommend only sharing this with other Site Managers or trusted individuals. 
  • Advanced Program Managers can launch the kiosk from their profiles. 

So you know: Launching the kiosk logs you out of your account. 


How volunteers use the kiosk

Once the kiosk is launched, volunteers can check in for volunteer shifts! Volunteers can check in for shifts they have already responded to or sign up for shifts through the kiosk. 

So you know: The kiosk only displays shifts for that day. 


Volunteers who responded to an Opportunity shift

If the volunteers have already responded, their names appear in a list when the Opportunity shift is selected in the kiosk. Volunteers must select This is me by their name to check-in. 


Volunteers who haven't responded to an Opportunity shift

If the volunteers haven't already responded, they can when they check in. 

1. Volunteers select the Opportunity from the list in the kiosk. 

2. Click Sign up

3. Enter a valid email address. 

4. Click Sign up & Check in

  • If the volunteer has a registered account on your site, their name appears and they can click This is me to confirm. 
  • If the volunteer doesn't have a registered account on your site, they can enter their First and Last name and click Create account to create one. 

5. Once they confirm their account or create one, they can click This is me > Check in now to finish. 

How volunteers check out

Checking out is as simple as checking in. 

1. Volunteers select the Opportunity from the list in the kiosk. 

2. They click Check out by their name. 

3. The click Check out now to finish.

  • Their hours are automatically recorded after they click Check out now.

Here are some commonly asked questions and answers about the kiosk: 


Why don't I see my Opportunities in the kiosk? 

There are a couple of reasons why the kiosk might not display your Opportunities: 

  • The kiosk only displays Opportunities for the day it is launched. 
  • The kiosk only displays Opportunities in the Programs selected when the kiosk is launched.
